Supply Chain Specialist

Job Summary The Supply Chain Specialist is responsible for coordinating purchase orders, inbound logistics, inventory accuracy, warehouse activities, customer orders, shipping, documentation, and reverse logistics. The role supports efficient supply chain operations across the UAE, KSA, and Lower Gulf markets while ensuring accurate system transactions, timely follow-up, and effective coordination with vendors, warehouses, customers, and internal teams. Key Responsibilities: 1. Purchase Order & Vendor Coordination Create purchase orders in Odoo and process them with vendors. Finalize purchase orders in Odoo and create the related financial case. Follow up with vendors to ensure timely order processing and delivery. Initiate vendor claims when required and follow up until the credit note is received. 2. Inbound Logistics & Receiving Prepare Advance Shipping Notices (ASNs) for the warehouse and follow up until goods are received. Coordinate inbound shipments and ensure all required documents are available. Verify and report discrepancies during and after the inbound process. Follow up with the warehouse until discrepancies are investigated and resolved. 3. Inventory Control Maintain accurate inventory records and support agreed service levels. Ensure inventory is matched across receiving, put-away, storage, picking, and system records. Investigate inventory variances and coordinate timely corrective actions. Support stock reconciliation and maintain accurate system updates. 4. Freight, Shipping & Export Coordination Obtain freight quotations and arrange shipment based on order requirements. Coordinate customer orders with the warehouse and secure suitable shipping quotations. Follow up on staging, loading plans, and logistical arrangements. Provide the receiving party with documents required for clearance, customs, and other legal authorities. Support KSA logistics operations and Lower Gulf export activities. 5. Warehouse & Customer Order Coordination Coordinate with the warehouse to prepare loading plans for customer orders. Follow up with warehouse teams to ensure accurate and timely order preparation. Monitor order progress and communicate updates to relevant stakeholders. Adapt operational arrangements to customer requirements within company policies. 6. Reverse Logistics & Issue Resolution Manage and control reverse logistics for returned goods and related information. Coordinate with vendors, warehouses, and internal teams to resolve operational issues. Maintain proper documentation and follow-up records for claims, returns, and discrepancies. 7. Cross-Functional Coordination & Reporting Coordinate with Finance, Sales, Procurement, and warehouse teams to support smooth operations. Prepare regular reports on purchase orders, shipments, inventory, discrepancies, and pending actions. Ensure accurate and timely updates in Odoo and other relevant tracking files. Escalate delays, risks, and unresolved issues to the line manager. Qualifications & Experience Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field. Minimum 3 years of experience in supply chain, logistics, inventory, procurement coordination, or warehouse operations. Experience in purchase order processing, inbound logistics, freight coordination, and inventory control. Working knowledge of Odoo or a similar ERP system. Good understanding of shipping documents, customs clearance requirements, and export processes. Strong Excel, reporting, and data accuracy skills. Strong coordination, follow-up, problem-solving, and communication skills. Ability to manage multiple priorities and work effectively with vendors, warehouses, customers, and internal teams. Good written and spoken English.
