CRM Associate

Overview KEO Group is a global Architecture, Engineering, Planning and Project & Construction Management consultancy working across the Gulf, Jordan and Europe. Our clients are governments, developers, investors and institutions. KEO has begun its CRM journey with a Deltek Vantagepoint CRM pilot, now live in Europe. The CRM Manager will support the pilot and the firm-wide rollout that follows, leading the data work and supporting adoption to make Deltek the single, trusted source of client, contact, opportunity and project data across KEO. Today much of that information still sits in divisional spreadsheets and individual inboxes, so the same client or pursuit can exist in several versions. This role sets the data standards, cleans and maintains the data, and supports adoption so that marketing, business development and leadership can target clients, cross-sell between divisions and respond to bids and pre-qualifications quickly. Responsibilities The role will evolve with the program, in three stages: Pilot: support the live Europe pilot, refine the data model and processes, and capture lessons for rollout. Rollout: extend Deltek CRM division by division and region by region, migrating data and training users in each wave. Embed and optimize: move to business-as-usual ownership of data quality, reporting and continuous improvement. CRM pilot and rollout Work with KEO's internal IT team, which is leading the implementation, the Finance team, the Head of Marketing and pilot users in Europe to review pilot results and refine the data model before rollout. Maintain pilot data quality, gather user feedback, and log issues and enhancement requests. Document processes, data rules and lessons learned from the pilot to inform the rollout design. Help plan the rollout sequence by division and region, including data migration, training and go-live readiness for each wave. Act as the day-to-day point of contact for users during each go-live and through hypercare. Data governance and standards Define and own the CRM data model: mandatory fields, naming conventions, account hierarchies (parent/subsidiary, government entities), sector, service-line and region tagging. Write and maintain the CRM data standards and protocols, including who may create, edit, merge or archive records. Establish data privacy and consent practices aligned with UAE PDPL, KSA PDPL, Jordan's Personal Data Protection Law and GDPR for European contacts. Data hygiene and quality Lead the consolidation of divisional spreadsheets and legacy lists into Deltek, wave by wave, including de-duplication, merging and enrichment. Run ongoing hygiene routines: duplicate detection, stale-contact review, missing-field reports and validation of new records. Publish a monthly data quality scorecard by division and region, and follow up with owners on gaps. Deltek Vantagepoint CRM administration and integration (with Finance and IT) Manage business requirements and functional needs of the Deltek Vantagepoint CRM module, coordinating enhancement requests and process improvements with the Finance team. Coordinate with the Finance and IT teams on CRM integrations, access requirements, workflows, reporting and release testing, including OpenAsset, SharePoint and Outlook. Coordinate with the Finance team to maintain and leverage project and client information (datasheets, references, sectors and project values) to support bids, award submissions and marketing activities. Business development and marketing enablement Work with divisional BD leads to keep opportunity and pipeline data accurate and up to date. Produce client and project lists on request, such as "all developers we have worked with on healthcare projects in KSA", for bids and pre-qualifications. Build segmented audience lists for marketing campaigns, events and client communications, and feed engagement data back into Deltek. Supporting adoption and training Support the adoption and change program, contributing data and system expertise to its plans and communications. Help deliver user training and onboarding, and maintain a simple user guide on data standards. Work with divisional CRM champions on data quality and day-to-day questions. Provide usage and data quality reporting that shows where adoption is working and where support is needed. Qualifications Qualifications and experience Essential Bachelor's degree in Information Systems, Business, Marketing or a related field. 6+ years in CRM management, data management or marketing operations, with at least 3 years owning a CRM platform. Hands-on experience with Deltek Vantagepoint CRM, or strong experience with a comparable CRM such as Dynamics 365 or Salesforce. Proven record of data cleansing, de-duplication and migration work. Experience working across multiple business units and countries, ideally in a matrix organization. Strong Excel skills and working knowledge of reporting tools such as Power BI. Fluent English; Arabic is highly desirable. Desirable Exposure to a CRM implementation, pilot or rollout. Experience in a professional services firm, ideally architecture, engineering or construction consultancy. Understanding of B2B business development, bids and pre-qualification processes. Knowledge of data protection regulation in the GCC, Jordan and the EU. Deltek certification or formal CRM administration training. Skills and attributes Rigorous attention to detail and a structured approach to data. Confident influencing senior stakeholders and changing established habits.
